Privacy Policy for Willow Running Club

Willow Running Club (“we,” “our,” or “the app”) is operated by Accessible Ethical Apps LLC. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using the app, you agree to this policy.

Information We Collect

We use Google Sign-In or Sign in with Apple to authenticate you. From your sign-in provider we receive:

Your email address
Your name (as provided by Google or Apple)
A unique user identifier issued by the provider
A profile picture URL (if your account has one)

If you use Sign in with Apple’s Hide My Email feature, we receive Apple’s private relay address rather than your real email. You can revoke our access at any time from your Apple ID account settings.

Profile information (provided by you)

After signing in, we ask you to complete a short profile:

First and last name (required) — for your appearance on the leaderboard
Email address (required) — for account identity and prize-winner contact
Date of birth (required) — used to bucket you into the correct demographic leaderboard
Gender (required) — used to bucket you into the correct demographic leaderboard
Phone number (optional) — used only to contact prize winners if you win

We require you to be at least 13 years old to use the app.

Activity information

Each run you log: the date, the distance in miles, and whether you tagged it as a Willow Running event. We also store totals derived from your activities: total miles, leaderboard score, and activity count.

Technical information

We do not use third-party analytics, advertising trackers, or marketing pixels. Our hosting provider (Google Firebase) records standard server-side operational data — connection timestamps, error logs, and IP addresses for abuse prevention — as part of normal infrastructure operation.

How We Use Your Information

To create and manage your account
To display your name and totals on the leaderboard for your demographic category
To contact you if you win a prize
To keep the app secure and prevent abuse

We do not sell your data. We do not share your personal data with third parties for advertising or marketing.

Service Providers

Your data is stored in Google Cloud Firestore. Authentication is handled by Firebase Authentication. Both are operated by Google LLC. Data is encrypted in transit (TLS) and at rest by Google’s infrastructure.

Your Rights

Access: All your stored information is visible inside the app’s Profile screen.
Edit: Tap “Edit” on the Profile screen to update any of your information.
Delete: Tap “Delete account” on the Profile screen. This permanently removes your profile, all logged activities, and your authentication record. There is no recovery once an account is deleted.
EU residents (GDPR): in addition to the above, you may request a portable export of your data by emailing us at the address below.
California residents (CCPA): you may exercise your CCPA rights — to know, to delete, and to opt out of any sale — by emailing us at the address below. We do not sell personal information.

Children’s Privacy

This app is not intended for children under 13. We do not knowingly collect personal information from anyone under 13. If you become aware that a child has provided us with information, please contact us and we will delete it promptly.

Data Retention

We retain your profile and activity data for as long as your account is active. If you delete your account, this data is removed immediately. Server logs are retained for up to 90 days for security and abuse-prevention purposes.

Changes to This Policy

We may update this policy from time to time. Material changes will be reflected here with an updated “Last updated” date and announced inside the app on next launch. Continued use of the app after a change indicates acceptance of the updated policy.
